What is the XO(TM) Web Site Hosting Junk Mail Filter?
Because of the recent increase of spam, or Unsolicited Commercial Email and other obnoxious Junk Mail, XO(TM) Web Site Hosting has implemented Junk Mail Filtering that you can turn on for your email account. This new function only works for current XO(TM) Web Site Hosting Web Mail and POP3 Mail users. You can choose not to use the Junk Mail Filter options by not enabling them or by disabling them if you have already turned them on.

 

The XO(TM) Web Site Hosting Junk Mail Filter analyzes an incoming email to see if it contains content that tends to be indicative of Junk Mail. This method goes beyond simple address and topic checking to analyze the actual content of the email message based on various factors.

The Junk Mail Filters will not destroy email contents, attachments or otherwise harm messages. No human will review your messages -- it is all done with software.

 

Once an email has been identified as Junk Mail, the message can then be handled in various ways including: Routing to a JunkMail Folder; marking the message as Junk Mail for your email software to handle according to your email software settings; and/or routing to a special email folder in your POP3 email software.

 

You now have available a simple and effective tool that allows you to automatically scan for Junk Mail. You have control over how sensitive it is as well as determining how the identified Junk Mail is handled. Please see the additional FAQs for configuring the Junk Mail Filters.

 

What levels of Junk Mail filtering are available?
There are two levels:

  • Premium Customization Level - A substantial number of filters, features and options that allow you to customize the Junk Mail Filters and keep Junk Mail out of your Inbox. In addition to all the Standard Customization Features, the Premium Customization Level includes: Customized Auto-expunge and delivery rules; access to a personal Premium Junk Mail Filter and Training interface customized to your email; 1000 Mail Handling Rules to use for Safe lists, Block Lists, Attachment Filtering and Custom Delivery options. Additional tools allow Domain and User Administrators to pre-configure the Junk Mail settings for users within a domain. Use of Premium features may incur additional costs per user depending on your specific type of account.

     

  • Standard Customization Level - Offers valuable features at no extra charge to help you manage your Inbox. Standard Junk Mail Filter customization features include: Delivery options for both POP3 mail and Web Mail users; Junk Mail Folder with Sensitivity Tuner; 15 day Junk Mail Folder Auto-expunge interval; and, 25 Safe List Mail Handling Rules to help you filter out Junk Mail.

    Note: Turning off the Junk Mail filter but leaving Premium Customization enabled will still incur any costs levied by using Premium Filtering. You must turn off Premium Customization for the extra charges to cease.

Which level of filtering is right for me?
The level depends on how you use email within your account. Premium Level would be a good choice if you get a lot of Junk Mail, are on many mailing lists or have special mail handling needs. Standard Level Junk Mail Filtering is good for those with very basic email needs. Examples for a user who would benefit from the Premium Customization Level include:

  • You're getting a lot of Junk Mail after you enabled the Standard Level Filter

  • You want more control over how email is filtered and would like to train the filter based on email you actually receive.

  • You get large quantities of legitimate email that tends to resemble Junk Mail.

  • You want to block large numbers of addresses or domains from being delivered.

  • You wish to filter email with attachments.

  • Your Junk Mail Folder needs to be auto-expunged more frequently.

How do I turn on Junk Mail Filtering?
If you are a Master Administrator or Domain Administrator you can configure Junk Mail Settings for each user within your domain:

  1. Log in to your account via the ACCESS EMAIL link at www.tetonwireless.com

  2. Click the Menu Map tab, then select Users Manage Junk Mail Settings.

  3. Change the Status dropdown to On or Off for the desired userID.

  4. Change the Junk Mail Filtering Customization Level dropdown to Premium or leave it at the default Standard level. This can be done individually in the Junk Mail Filtering View or you can select the Default User Filtering Settings at the bottom of the page and configure Junk Mail Settings for all existing users within your domain. See Default User Filtering Settings FAQ for more information.

    Note: User Administrators are only able to set users on a case-by-case basis, not globally.

If you are a user:

  1. Click the Menu Map tab, then select My Profile Email Email Options.

  2. If your Premium and Standard choices are grayed out, contact your account administrator and ask them to follow the instructions above to enable your UserID to gain access to the Premium features.

This brings you to the Junk Mail Filtering window where you can set User Junk Mail Filtering options. Please Note: Premium Level subscribers can customize many Junk Mail Filtering options, please see the Premium Junk Mail Filtering Features for more information.

  • Use Junk Mail Filtering

    • On to enable (turn it on)

    • Off to disable (turn it off)

  • Customization Level

    • Premium offers more options and may incur an extra charge. When you check the Premium box and click Update E-mail Settings, the Premium features will appear in this table.

    • Standard is the default

  • Filter Sensitivity
    Allows you to tune the sensitivity of the Standard Junk Mail Filter. Note: Premium Level users that have not trained the Premium Filter or have disabled the Premium Filter can use the Standard Filter Sensitivity interface.

    • The Low setting identifies less Junk Mail and allows more email to pass.

    • The Medium setting is default and offers a good balance between too much filtering and too little.

    • The High setting identifies more Junk Mail and allows less email to pass the filter.

  • Junk Mail Delivery

    • Choose the desired destination folder from the dropdown.

  • Subject Modification

    • Checking this prepends the term JunkMail to the email subject line.

  • Auto-Expunge

    • Checking this automatically deletes any identified junk mail in the JunkMail Folder after 15 days.

  • Mail Handling Rules

    • Selecting Safe List brings you to the Safe List screen.

    When you have finished making changes, be sure to click the Update E-mail Settings button.

How do I turn off the Junk Mail Filter?
See the above steps for turning on the Filter and select Off from the Status dropdown.

Who has control over the Junk Mail filtering?
With the Standard level the Master Administrator, Domain Administrator, or User Administrator, can change the settings for each user, but cannot change all users globally, and each individual has control over the settings for their own account.

 

Using the Premium level the Master Administrator or Domain Administrator or User Administrator can change the settings for each user individually or all users within a domain using the Default User Filter Settings interface. Each user still has control over the Junk Mail settings, Mail Handling Rules and Premium Filter Training for their particular user account.

 

Can the Junk Mail Filter settings be applied to all users in the account?
Yes. See setting the Default User Filtering Settings.

 

What is the JunkMail Folder?
This is a feature available when using Web Mail and POP3 Mail. Any email that is identified as Junk Mail can be sent automatically to a folder called JunkMail. Depending on the Auto-Expunge setting, any email that is 15 days old can be automatically deleted. It would be a good idea to periodically review what type of mail is in the JunkMail Folder to make sure the filter is accurately identifying the email as junk. Can I identify more than one email at a time as junk?
Yes. Web Mail allows you to do this. When looking at a folder containing multiple emails, click the left-most box for all those emails you determine are junk. Then click the Junk button just under the menu bar.

This identify them both as junk to the Junk Mail filter and permanently delete them. If the custom filter is being used, this also identifies these messages to train the filter. You will not have a chance to recover the emails once the Junk button has been pressed.

 

How do I delete all the contents of the JunkMail folder?
When viewing all your Web Mail folders (for example, when entering Web Mail), check the box next to the JunkMail folder and click Empty at the top of the screen. This permanently deletes all contents of the JunkMail folder without chance for review.

 

Does the XO(TM) Web Site Hosting Junk Mail Filter work with my third party POP3 mail software such as Outlook and Outlook Express?
Yes.

  1. Set the Subject Line Modification to Yes. Here for details
    If your email software can check header information you can set this to No. See step #5.

  2. Set the Delivery option to Deliver to Inbox. Here for details

  3. If you don't want to send Junk Mail to your Inbox, you can set the Delivery Option to Delivery to JunkMail Folder and you can configure your POP3 mail client to log into this folder. To accomplish this you must configure your email software to check the JunkMail Folder, the software should be set to log in with userID@myrf.net|JunkMail . If your email software allows you to set the connection polling time it is recommended that it be set to poll at 3 minutes or less.

    Note: the standard userID and domain is followed with the pipe or vertical bar (|) symbol followed with the name of the JunkMail Folder. This logs directly into the JunkMail Folder and receives the mail that is stored there.

  4. When using the prepend JunkMail and deliver to the inbox option, your third party email software should be set up to filter out mail with a subject line containing JunkMail. Make sure it is JunkMail. This is case sensitive.

  5. When the XO(TM) Web Site Hosting Junk Mail Filter identifies an email as Junk Mail, it adds X-JunkMail: Junk to the email header. This can be used by your email software to identify and filter Junk Mail.

    As an additional filter feature, the Junk Mail Filter adds X-AllowList: Yes to the email header when it filters an address contained in your Safe List.

Junk Mail Delivery
This can be set to any existing folder

This is set in the Junk Mail Filtering table next to Junk Mail Delivery by selecting the desired folder from the dropdown.

 

Subject Line Modification
This is set in the Junk Mail Filtering table next to Subject Modification by checking the Prepend box and entering your desired text of from 1 to 64 characters.

 

Auto Expunge time
This can be set from 1 to 90 days. If you get a lot of junk mail, you can set the time interval to be shorter and save on disk space.

This is set in the Junk Mail Filtering table next to Auto Expunge by checking the Delete email older than _ days box and entering a time of from 1 to 90.

 

Mail Handling Rules (safe list)
While there are three entries here, Safe List, Block List and Add Custom Mail Rules, they are all combined under the 1000 item limit. For example, if you have 500 entries in the Safe List and try to add 502 entries to the Block List, you will exceed your limit.

    Mail Handling Rules - clicking the title displays a table of your existing rules. An empty table means no rules have been defined.

    • Checking the left check box and clicking Delete deletes a Mail Handling Rule.

    • Clicking the first word of the Description, either Allow, Block or Delete, lets you edit the Mail Handling Rule.

  • Safe List - any individual email addresses or domains in this list is passed through the Junk Mail Filter as legitimate email regardless of content. Entries can be added one per line either manually by typing, by pasting in a text file of addresses, or by using the Allow Custom Mail Rule option.

  • Block List - any individual email addresses or domains in this list are identified as Junk Mail regardless of content. Entries can be added one per line either manually by typing, by pasting in a text file of addresses, or by using the Block Custom Mail Rule Option.

    Both Block List and Safe List can use a wild-card (*) for subdomains. For example, *.yourwebsiteaddress.com would identify julie.yourwebsiteaddress.com and michelle.yourwebsiteaddress.com .

  • Add Custom Mail Rule - displays the Add Custom Mail Rule table.

Adding/Editing a Custom Mail Rule:

  1. First decide how you want to identify the email by receive criteria:

    • From: sender's email address

    • Subject: subject line

    • To: recipient's email address

      Note: You can make use of wildcards in the three above blocks. For example, if you enter *free* in subject, any subject line that contains free will be identified. If you enter free in the subject line, then the subject would have to be free to be identified. Likewise, *.biz in the from line would identify any emails arriving from the top level domain (TLD) of biz - gee@whiz.biz and fiz@diz.biz .

    • Attachment: MIME Type dropdown. From the dropdown there is a choice of:

      • Image - chip.jpg, monk.gif

      • Audio - ellie.wav, fant.aif

      • Video - square.mov, earl.avi

      • Executable - ee.bin, gull.exe

      • ZIP - piddy.zip

      • HTML - pen.htm, gwen.html

      • Plain Text - tisk.txt

    You can also enter the specific MIME type in the bottom box. Here is a list of supported MIME types.

  2. Then decide what delivery criteria you want to apply to an identified message:

    • Allow it through:

      • You can deliver it to an existing folder in your Web Mail.

      • You can prepend a text string (alphanumeric, less than 65 characters) to the subject line.

    • Block it. Treats the identified message as Junk Mail and deals with it using the normal Junk Mail settings.

    • Delete it. Deletes the identified message without a chance for review.

  3. Click the Save Rule button to save this rule to your Mail Handling Rules or Reset Form to clear the form.

If there is a conflict between Mail Handling Rules, what precedence do the various rules follow?
In general, the order of precedence for Mail Handling Rules when delivering email is Safe List, Block List, Custom Rule Allow, Custom Rule Block, and finally Custom Rule Delete.

However, to see the exact order, look at your Mail Handling Rules list which can be reached by clicking the Menu Map tab, then select My Profile Email Email Options. then Mail Handling Rules.

Can a blank subject line be identified by the Mail Handling rules?
Yes. When you fill out a Mail Handling rule, enter "" (two double-quotes with no space) in the subject line.

Default User Filtering Settings
The Master Administrator, Domain Administrator or User Administrator can set Junk Mail filtering as a default for all new and/or existing users across the account.

  1. Click the Menu Map tab, then select Users Manage Junk Mail Settings.

  2. You can set each userID's Junk Mail setting from this screen by clicking their name.

  3. You can change all userID's settings by clicking Junk Mail Filtering Settings for ALL users... at the bottom. On the following screen you can set the same options to apply globally as you did when setting the individual settings.

  4. After you have selected the proper settings you can decide whether you want those settings to apply to all existing users within your domain. Please Note that applying settings to existing users over-writes any pre-existing settings they may already have

TROUBLESHOOTING JUNK MAIL FILTERING
 

I'm getting some legitimate email in my JunkMail Folder. How can I allow specific addresses to be passed through the Junk Mail Filter?
 

  • If you're a Standard Customization Level user try setting the Filter Sensitivity to a lower setting. If this doesn't help or allows too much Junk Mail to pass then continue with the options below.

  • Try using the Premium Junk Mail Filter. The type of email you receive may be more amenable to a filter specific to your account. See the FAQ's on the Premium Customization Level for specifics.

  • If its one particular sender or domain getting filtered as Junk Mail try using a Safe List entry in your Mail Handling Rules

    • If you are a user:

    • Enter the exact email address or the domain you want to pass through the Junk Mail Filter into the text box. Entering just the domain - yourwebsiteaddress.com permits any email address coming from that domain to pass. These can be entered individually, or a file of them could be entered using the cut & paste function of your operating system. There is a limit of 25 entries if you are a Standard Customization Level subscriber. Attempting to enter more than 25 results in an error message.

    • To remove an entry from the list, delete that entry.

    When you have finished making changes, be sure to click the Update Safe List button.

 

Is there any way I can fine tune the Junk Mail Filter while reading my email in Web Mail?
Yes. As you read your email you can help the Junk Mail Filter make better decisions about your email by:

  • If you are reading email that hasn't been identified as junk mail and it is junk mail, click the Mark as Junk Mail box. This sends a copy of the email to our filtering system.

  • If you are reading email that has been identified as Junk Mail and it isn't, click the Mark as Not Junk Mail box. This removes the prepended JunkMail and sends a copy of the message to our filtering system.

    You also have the option of moving this message to a different folder and, if you have room in your Safe List, adding the from address or domain to your Safe List. If your Safe List is at its limit, this option doesn't show.

Why don't Junk Mail Filters work for accounts with mail forwarding enabled?
Junk Mail Filters currently only apply to email that is delivered to a local mail account such as a Web Mail Folder or POP3 Mail account. E-mail that is forwarded as soon as it is received currently does not pass through the Junk Mail Filters.

 

Why can't I bounce email back to the sender?
Bouncing (returning the email back to a sender) has not been implemented because doing this confirms to the sender that the email address used is a working, legitimate address. Confirming the email address as legitimate to a spammer only tends to increase the amount of attention that address receives.

 

Will the XO(TM) Web Site Hosting Junk Mail Filter work on email that I forward or auto-respond to and DON'T save on the server?
No. Currently, messages that aren't saved on the server are not filtered.

 

How do I suggest changes or request features in the Junk Mail Filter?

How do Junk Mailers and Spammers get my email address?
There are countless methods Junk Mailers use to collect email addresses. Examples include automated programs called spiders or robots to search Web pages collecting anything that looks like an email address. They also search news groups and chat rooms for email addresses. There is also the brute force method that tries sending email to every possible address from a@yourwebsiteaddress.com to zzzzzzzzz@yourwebsiteaddress.com . Or they may simply buy a list of email addresses from a vendor.

How can I lessen the amount of Junk Mail I get?
While there is no fool-proof method of protecting your email address from Junk Mail, here are some suggestions that may make it less likely your address shows up on Junk Mailers' lists:

  • Never put your email address on your Web page. If you must do so, make it look less like a legitimate email address. An easy way to this is to replace the @ symbol with the word AT, e.g. bobATyourwebsiteaddress.com .

  • Use a throw-away email address from a free email service when registering for online services like news and surveys. When the Junk Mail gets to an intolerable level, change the address.

  • Never use the remove me from your list feature in a Junk Mail message unless you're sure of the source. Some Junk Mailers use this feature as a means to confirm the email address is in use by someone.

  • Don't respond to Junk Mail offers; you're only fueling the fire. If it sounds too good to be true, it probably is. Junk Mail often contains offers to cash in on Nigerian millions or offers software at amazingly reduced prices. Both offers tend to be bogus.

  • Use the Junk Mail Filtering feature of XO(TM) Web Site Hosting and Web Mail to filter email.

  • Use the various filtering elements in your own POP3 email software program to filter email.
